Why Proof of Address Is Rejected: Name, Address, Validity Period, and Document Completeness

The client uploaded a lease agreement, but the service responded: proof of address rejected. The agreement is valid, the landlord exists, and the property is specified correctly. This may create an urge to obtain another certificate and resubmit the documents. However, an additional document will only help if the rejection is related to an incomplete set of documents.

The reason may be different: a different address is specified in the profile, the agreement is issued in the company’s name instead of the owner of the personal account, the permitted validity period of the utility bill has expired, or the service is actually checking not the lease but the right to reside in the country. To pass the verification again, you first need to determine exactly what discrepancy the recipient identified.

Do Not Resubmit the Same File Without Reviewing the Request

Start with the email or notification in your account. It may specify the type of document required, the address to be verified, and the submission deadline. If the message is brief, check the verification section to see whether a more detailed request has appeared there.

Then open the rejected file alongside the account details. This makes it possible to divide the issues into three groups:

  • Wrong document. For example, a property ownership extract was uploaded even though the service requested a document in the name of the person residing at the address.
  • Correct document type, but information is missing. The agreement does not contain the lease end date, the signature page is missing, or the photograph obscures the address.
  • The information conflicts with the profile. The account shows one apartment number while the agreement shows another; the document is issued in the company’s name, while the personal address of its director is being verified.

Each group requires a different solution. An additional registry extract will not compensate for a missing signature on the agreement, while a new photograph of the agreement will not correct an incorrect address in the profile.

Name: Who Should Be Named in the Document

When verifying a personal address, the service usually expects to see a connection to the account holder. If the lease agreement is signed by a spouse, partner, or company, first determine whether the recipient accepts such a document and what additional proof of the relationship may be required.

The spelling of the name also matters. Compare the agreement with the profile details and identity document: check whether any part of the name is missing, whether a different transliteration has been used, and whether the order of the first and last name matches. If the spelling differs for an objective reason, it is better to ask support how the discrepancy should be explained rather than altering the scanned document yourself.

For business verification, the requirement may be different. Wise Business may, in certain cases, accept a document in the name of the company owner or director at its business address, but such conditions should not be assumed to apply to every service or every type of account.

Address: Does the Entire Address Match, Not Just the City?

For proof of address, matching the country and street is usually not enough. The service compares the document with the address entered in the profile, including the building and apartment numbers. Georgian documents may also contain different versions of the address in Georgian and Latin script.

Check every element: city, street, building number, building/block designation, apartment, and postal code, if applicable. If the agreement contains the full address but the account lists only the building without the apartment number, the recipient may be unable to establish an exact match. The source containing the error should be corrected in accordance with the service’s own procedure for updating profile information.

A registered address and a residential address should also not be confused. Wise recommends entering your residential address in a personal account. Having a registered address or lease elsewhere does not automatically make it the current address that the service is trying to verify.

Validity Period: When Was the Document Issued and Is the Lease Still Valid?

Different types of documents have different time requirements. For a lease agreement, it is important whether it is currently valid and whether the start and end dates are visible. For a utility bill or bank statement, the date of issue is checked. Payoneer, for example, specifies that a bill submitted together with a lease agreement must be no more than three months old.

An old bill may still confirm that the property exists, but it may not satisfy a request for a current document. A recent property ownership extract, in turn, does not extend an expired lease agreement.

If the verification process has been delayed and the document has reached the end of its validity period, it is worth checking with the service whether an updated file is required. Dates on a previously issued document should not be changed: a new date must correspond to an actual lease extension or a newly issued bill.

Completeness: Which Pages and Attachments Are Missing?

When taking photos with a phone, it is easy to miss the reverse side, the page describing the property, or the signature page. Sometimes the file is perfectly readable to the sender but becomes so compressed after upload that the address can no longer be read.

Before resubmitting, check whether the following are visible:

  1. All pages of the agreement, including the attachment containing the full address.
  2. The names of the parties, signatures, and lease validity dates.
  3. Utility bill details: provider, date, address, and recipient’s name.
  4. The full edges of each page, without cropped lines or obscured sections.
  5. All documents explicitly specified in the service’s request.

Payoneer requires a complete, legible document in color. Wise also lists hidden information, expired documents, and discrepancies between account details and the document among the reasons for rejection. If the upload form does not accept multiple separate files, prepare the complete set in an accepted format while preserving all required pages.

What to Do If the Documents Are Correct but the Rejection Happens Again

Not every rejection is related to the quality of the proof of address. Wise may separately verify the right to reside in a country, in which case it requires the relevant government-issued document. A financial service may also request information about the business, its owners, or the nature of its payments. These checks cannot be satisfied with a lease agreement, even if it is flawless.

If the reason is unclear, request clarification through the official support channel and specify which document you have already submitted. It is more useful to ask which specific requirement has not been met than to send another batch of files in advance. At the same time, information about actual residence and business activities must remain accurate: a valid lease agreement alone does not provide grounds for stating an address that the client does not use accordingly.

Once you receive a response, you can choose the appropriate action: correct the profile details, prepare the complete lease agreement, supplement it with an acceptable utility bill, or select another document from the service’s list. This is how resubmission becomes a solution to a specific problem rather than another attempt to guess the reviewer’s requirements.

Wolja Digital helps analyze proof-of-address rejections and assess whether a package for a real property in Georgia is suitable for resubmission: a lease agreement in the client’s name, an extract from the Public Registry of Georgia, and, for certain addresses, a utility bill. We first compare the documents with the recipient’s request and then determine what actually needs to be obtained or corrected.
